Every family's coordination burden is different. During intake, we walk through what you're managing and build a monthly rate around the parts you want handled. You keep what you want to keep. We take the rest. If your needs change, we'll adjust the plan together.

Some families need a Family Manager while getting everything set up after a new diagnosis or a major transition, then step to the Family Coordinator once things are running. Other families need it permanently because the logistics never get lighter. Either way, your coordinator already knows everything.

Common questions

What is the Care Profile?
Before your first visit, our behavior analyst gathers detailed information about your child: routines, preferences, communication style, sensory needs, behavioral patterns, and what's worked (and hasn't) with previous caregivers. This becomes the training foundation for your caregiver and is updated as your child grows and needs change.
Do I need both services?
No. Each service works independently. Some families only need childcare. Some only need coordination. Some use both. Coordination starts at $300/month with a Family Coordinator who tracks everything and guides your decisions. Families who want their coordinator handling the logistics can upgrade to Family Manager. Both work alongside your childcare if you use it.
What happens if my caregiver is unavailable?
Membership families receive a replacement guarantee. If your primary caregiver can't make a scheduled shift, we provide a trained backup who has access to your child's Care Profile. Flex families receive best-effort backup support.
What if I have more than one child?
Your caregiver can care for siblings at no extra cost when it's safe to do so. When a second caregiver is needed - multiple neurodivergent children, complex care situations, or large age gaps - Novinway provides a second employee at a reduced rate. We never send an outside sitter. Both caregivers are trained on your children, employed by Novinway, and backed by the same oversight.
Why don't you accept insurance?
Insurance covers clinical services like ABA therapy. Novinway is entirely nonclinical - we provide childcare and family coordination, not therapy. Operating outside the insurance model lets us stay flexible and focused on your family's actual needs rather than what a plan will authorize.
Can I use my FSA or dependent care benefits?
Many families are able to use dependent care flexible spending accounts (FSAs) or other pretax benefits to help cover the cost of childcare services. Check with your plan administrator for eligibility details.
What does the coordinator actually do?
Every family using coordination gets a coordinator who knows your child's full situation - providers, schedules, authorizations, benefits, transitions. At the Family Coordinator level, your coordinator tracks everything, tells you what needs to happen and when, discovers programs and benefits you may not know about, and connects you to the right people. With Family Manager, they do all of that plus handle the logistics - making the calls, filing the paperwork, scheduling the appointments, coordinating transportation. The scope depends on your family's situation - if a neurotypical family wouldn't have the problem, it's in scope.
What if I need an advocate or attorney?
Your coordinator maintains relationships with vetted IEP advocates, special education attorneys, and other specialists in the DC metro area. When a situation comes up that needs that kind of support - an IEP meeting, a school placement dispute, a legal question - they connect you to the right person. You don't have to find them yourself.
Can you help me navigate clinical options?
Novinway is entirely nonclinical - we don't provide therapy, and we don't direct clinical decisions. But your coordinator maintains relationships with vetted specialists across the DC metro area and can connect you to the right person when you need one.
Is there paperwork to get started?
Yes. Before services begin, families sign a service agreement covering expectations, scheduling policies, and liability. We walk you through everything during your first conversation - no surprises.
What's the difference between Family Coordinator and Family Manager?
Same coordinator, same relationship, same scope. The difference is who handles the logistics. With the Family Coordinator, your coordinator tracks everything, monitors deadlines, discovers resources, and tells you what needs to happen. You handle the calls, paperwork, and scheduling yourself. With the Family Manager, your coordinator handles the logistics on your behalf. Many families start with a Family Manager during a new diagnosis or transition, then move to the Family Coordinator once things are running. You can move between them anytime.
How is Family Manager priced?
During intake, we walk through what you're currently managing and build a monthly rate around the parts you want handled. The rate reflects what your family actually needs - if you want to handle some things yourself, you only pay for the parts we take on. If your needs change, we'll adjust the plan together.
Are there contracts or cancellation fees?
No long-term contracts for any service. Childcare memberships, Family Coordinator, and Family Manager are all month-to-month - cancel with 30 days' notice. Individual membership bookings can be cancelled with 24-hour notice at no penalty, and we work with families on emergencies and illness. Flex bookings require 48-hour notice.
